SplashOut has an exciting opportunity available for a Procurement Co-Ordinator to be based in Umhlanga, KwaZulu Natal. The successful incumbent will be responsible for sourcing and procuring products and services, ensuring optimal pricing, supplier selection, quantities, specifications, and lead times to meet the company's operational requirements. This role requires strict adherence to internal controls, while upholding ethical standards and avoiding conflicts of interest, bribery, and kickbacks. The incumbent will contribute to achieving the company’s strategic objectives by providing accurate and timely reports on a daily, weekly, and monthly basis, supporting informed decision-making, and ensuring full compliance with company policies procedures.
Minimum requirements
• A minimum of 1 -2 years’ experience within a procurement, purchasing, or administrative support roles.
• Must have a valid South African driver’s license
• Proficiency in procurement software and Microsoft Office Suite (Excel, Word, PowerPoint).
Responsibilities:
Financial Metrics/Operational Duties
• Process and issue purchase orders based on approvals.
• Ensure that all purchase orders are accurate, complete, and comply with internal policies.
• Track the status of open orders and follow up with suppliers to ensure timely delivery.
• Assist in identifying and evaluating suppliers based on cost, quality, and reliability.
• Communicate with suppliers to request quotes, confirm orders, and resolve any issues related to deliveries or invoicing.
• Assist in monitoring inventory levels to ensure an adequate supply of materials and avoid stockouts.
• Coordinate with warehouse staff to ensure smooth flow and storage of goods.
• Maintain accurate procurement records, including supplier information, contract details, and order histories.
• Update and manage the procurement database, ensuring timely and accurate information is available for reporting.
• Coordinate with the finance department to ensure timely payment to suppliers.
• Assist in preparing reports on procurement activities, including budget forecasts, purchase order status, and supplier performance.
• Track procurement metrics and suggest improvements based on data analysis.
• Ensure procurement activities are compliant with company policies, legal requirements, and industry standards.
• Manage BEE-compliant suppliers as per the company’s BEE strategy and maintain a supplier base that meets required BEE ratings.
• Work closely with other departments, such as finance, warehousing, sales and operations, to ensure the smooth flow of procurement processes.
• Provide support to the Line Manager and collaborate with the sales and the sales administration team.
• Assist with Ad Hoc tasks as required.
People
• Performance must be tracked by yourself, and the onus is place on you to set-up performance review meetings with the Line Manager.
Compliance, risk and quality
• Ensure 100% compliance with company policies and procedures.
• Adhere to 100% compliance with health and safety regulations.
• Ensure 100% compliance with relevant laws and regulations.
• Save all work, templates, and records monthly and yearly for audit, enquiry, or investigation purposes.
• Produce high-quality, neat, logical, and easy-to-follow work/templates/financial models with substantiated facts and no numbers in formulas.
• Save and back up final versions and documents chronologically.
• Declare all gifts and avoid accepting kickbacks, reporting any instances immediately.
• Declare any conflicts of interest upfront.
Growth and new markets/products
• Assist with projects as directed.
• Follow measures and steps to achieve short, medium, and long-term company goals.
• Develop and maintain key customer relationships.
